Budget Time - Proposal for new records management data base

Looking for some creative wording..


I need to convince Council that implementing a records management database is essential. One question we have to answer now is "What are the consequences if this item does not get approved?" We currently have an excel program that lists over 6500 records in the Township however it is prone to freezing and crashing. I need to convince council that we need a new records management data base. Any help with wording would be greatly appreciated.

I would list it as an option "maintain current system", with its pros and cons


You could also include the option "upgrade the current system" if it is possible (maybe update to a newer version, etc) you would need to speak to a computer tech for options.

There are a variety of potential consequences for not keep up with or properly maintaining municipal records not to mential the legal liability for your municipality. Unfortunately most Council members do not know what is required to properly maintain the records within a community or the legal implications which makes it easy for them to keep kicking the can.

I would mention the importance of maintaining the Townships records for historical and cultural purposes. The records in your custody probably tell the story of interesting cultural and community events. That is vital to maintain in order to protect the Township's shared history and community identity.
